Overview of migrated sales order history

Introduction

At this screen, you can obtain an overview of completed and incomplete sales orders migrated from the Macola Progression® database to the Exact Globe Next database. From the overview, you can view the selected sales order or view the invoice linked to the selected sales order.

Menu paths

  • Order ➔ Reports ➔ Conversion history ➔ Sales order history
  • Go to Finance➔ Accounts receivable ➔ Maintain, select an account receivable and then click Open to view the maintenance screen. In the maintenance screen, click the Conversion history button.

Note: The menu path and button are available only if you select the View sales history conversion check box in Conversion history settings. For more information, see Conversion history settings.

Fields

You can filter the sales orders that you want to display by defining your search criteria and clicking Search. The sales orders that meet the defined criteria are then displayed. A list of options will be displayed if you click  in the Ordered by, Invoice to, and other boxes. From the list, make your selection and click Select.

Note: It is possible that not all the columns in the example are displayed. You can add or delete columns as required. For more information, see Inserting and deleting columns.

Search

Click this to display the existing or migrated sales order history based on the due date defined at Conversion history settings, followed by the defined criteria. For more information, see Conversion history settings

Clear

Click this to clear the defined criteria.

Number of rows

Type the number of rows to be displayed for each page. If you have set the default number of rows to 10, then 10 rows will be displayed. Therefore, if you have more than 10 rows listed, you will see the Previous and Next buttons.

Previous

Click this to return to the previous page of entries.

Next

Click this to display the next page of entries.

Display section

Select Globe data or Conversion data to display the overview of existing or migrated sales order history, respectively. Select All to display both the existing and migrated sales order histories. If you display both the existing and migrated sales order histories, the migrated orders will be indicated accordingly in the Conversion column.

General section

Warehouse

Select a warehouse to display sales orders linked to this warehouse. Select All to display sales orders linked to any warehouse.

Sales order

Type the specific code of a sales order to display this sales order only.

SO date

Type or select a sales order date or a range of sales order dates to display sales orders with the defined sales order date(s). Select the All check box to display sales orders with any sales order date. By default, the All check box is selected.

Ordered by

An ordered by debtor is the debtor who places a sales order. Type or select an ordered by debtor to display sales orders with the ordered by debtor.

Classification

Type or select the classification of the selected ordered by debtor to display sales orders linked to debtor with this classification.

Note: The classification of a debtor is defined at Classification in the General section of the Basics tab of the debtor maintenance screen. For more information, see Creating and maintaining accounts receivable.

Invoice to

An invoice to debtor is the debtor who receives an invoice. Type or select an invoice to debtor to display sales orders with the invoice to debtor. You can also leave this box empty to display sales orders with any invoice to debtor. 

Classification

Type or select the classification of the selected invoice to debtor to display sales orders linked to debtor with this classification.

Note: The classification of a debtor is defined at in the General section of the Basics tab of the debtor maintenance screen. For more information, see Creating and maintaining accounts receivable.

Group by

Select Sales order or Item to group the overview by sales orders or items, respectively.

Advanced/Simple

Click Advanced to expand the search criteria. You will see the Selection code, Your ref., Representative, Completed, and Description fields as well as the Item section.

Click Simple to hide the search criteria.

Selection code

Type or select a selection code to display sales orders with the selection code.

Note: The selection code of a sales order is defined at Selection code in the Analytical group section in the screen for defining sales order conditions. For more information, see Sales order conditions.

Completed

Select Yes or No to display the complete or incomplete sales orders, respectively. Select All to display both the complete and incomplete sales orders.

Your ref.

Type a debtor reference number to display sales orders with the reference number.

Description

Type a full or partial description of a sales order to display sales orders that contain the corresponding description.

Representative

A representative refers to the person in charge of a sales order. Type or select a representative to display sales orders with the representative.

Item section

Item group

Type or select an item group or a range of item groups to display sales orders for items linked to the item group(s). Select the All check box to display sales orders for items linked to any item group. By default, the All check box is selected.

Item

Type or select an item or a range of items to display sales orders for the item(s). Select the All check box to display sales orders for any item. By default, the All check box is selected

Assortment

Select one assortment or more to display sales orders for items linked to the assortment(s).

Note: The number of assortments displayed depends on the assortment(s) you have defined in the Assortments section in Item data settings and other menu paths. For more information, see Creating and maintaining assortments. If you have defined two assortments, then two assortment boxes will be displayed. You can define up to 10 assortments.

Buttons

Note: The Note, Attachment, Logbook, and Copy buttons are always disabled.

Invoice

Click this to view the invoice linked to the selected migrated sales order or the sales order created in Exact Globe Next. You can also edit the invoice linked to the sales order created in Exact Globe Next but you can only view the invoice linked to the migrated sales order. Open

Click this to view the selected migrated sales order or the sales order created in Exact Globe Next. You can also edit the sales order created in Exact Globe Next but you can only view the migrated sales order. For more information, see Creating and maintaining sales orders and Viewing migrated sales orders.

Close

Click this to exit.
